Grant Administrator – Finance Assistant

Job description

Office of the Postsecondary Commissioner seeks to hire an administrator-financial assistant to support the finance department for the financial management and compliance reporting for grants that are awarded to RIOPC, its Higher Education and Industry Centers, and Rhode Island Nursing Education Center. The position will also provide financial support to the grants manager and department heads in the preparation of applications and proposals for submission to federal, state, local, or private funding.

Specific duties
Support the chief financial officer in the financial administration and oversight of grant awards:

  • Assist in developing a grants management system that will compile, track, and report data and financial information related to grant funding for the agency.
  • Work with departments to ensure the accuracy of accounting data required per the grant agreements or awards.
  • Prepare the supporting documentation and analysis necessary for accounting and reporting functions.
  • Review and prepare request for approval of all grant related payment requests, invoices, statement, etc.
  • Assist in preparation of a budget for grant awards that will track funding and expenditures. Prepare and update budget-to-actual analysis to be used in financial reports distributed to senior leadership team and grants manager.
  • Assist in preparing personnel budgets for grants and work with grants manager and department heads to confirm allocations.
  • Prepare journal entries for the business coordinator to post into general ledger.
  • Assist the grants manager, department heads, and business coordinator to comply with deadlines for payables, deposits, funding obligations, reimbursements, invoicing, etc.
  • Perform additional responsibilities as assigned by the Chief Financial Officer

Requirements
Education: Bachelor’s degree preferred. Experience in accounting, business administration, economics, finance, business management, or related field.

Experience: A minimum of two years of grant administration experience. Experience in governmental (federal and/or state) or non-profit sectors, preferred
Or, any combination of education and experience that shall be substantially equivalent to the above education and experience.

Skills

  • Demonstrated organizational and administrative abilities.
  • Strong verbal and written communication skills and ability to interact with a variety of individuals at all levels.
  • Demonstrated knowledge of computer software packages (including Word, Excel, and other Microsoft Office applications).
  • Knowledge of general ledger accounting, budgeting, financial control, and federal reporting.
  • Ability to work both independently and collaboratively in a fast-paced environment

This is non-union, non-classified part-time position that reports to the chief financial officer. The hourly rate is $25.00. Send resume and cover letter by April 8, 2024. The position will remain open until filled.
